CAMO.A.120 requires the organisation to maintain records of its management system activities, including compliance monitoring audits, risk assessments, safety reports, training records, and corrective actions.
What it means in practice
Beyond the aircraft continuing airworthiness records covered by CAMO.A.055, the organisation must also maintain records of all management system activities. This includes compliance monitoring audit reports and findings, risk assessment records, occurrence reports and safety investigations, management review meeting minutes, training records for all staff, and records of corrective and preventive actions taken.
These records provide evidence that the management system is functioning as intended and form the basis for management reviews and continuous improvement. They must be stored securely and retained for a minimum period as defined by the organisation's procedures and the competent authority's requirements.
Key requirements
All management system records must be stored accurately and securely, with defined retention periods. The records must be accessible for review by the competent authority. The organisation must have procedures for the creation, amendment, and control of management system records, including electronic records. Backup procedures must be in place for digital records.
Common compliance gaps
A common finding is incomplete compliance monitoring records, where audit reports exist but the associated corrective action tracking is not maintained. Another gap is the absence of documented management reviews, making it impossible to demonstrate that the management system is being assessed for effectiveness at the senior management level.
