147.A.125 requires the organisation to maintain up-to-date records of all instructors and examiners, including their qualifications, experience, training, and scope of authorisation.
What it means in practice
The organisation must maintain a record for each instructor and examiner that documents their technical qualifications, relevant experience, instructional or examining competence, continuation training, and the scope of subjects or courses they are authorised to teach or examine. These records must be kept current and must be available for review by the competent authority.
The records serve as evidence that the organisation has verified the competence of each instructor and examiner before authorising them, and that it continues to monitor their suitability through regular assessment and continuation training.
Key requirements
Records must include qualifications, experience, instructional training, continuation training, and authorisation scope for each instructor and examiner. Records must be kept up to date and retained for at least the period specified by the regulation or competent authority. Changes in authorisation scope or status must be reflected promptly.
Common compliance gaps
Instructor and examiner records are frequently incomplete, particularly regarding evidence of continuation training and periodic competence assessments. Organisations also sometimes fail to update records promptly when an instructor's scope changes or when a new instructor joins, creating gaps in the audit trail.
